Description

The Cleveland office of Squire Patton Boggs is seeking a Document Specialist for its Document Processing department. The hours for this position are Monday through Friday from 8:30 a.m. - 5:00 p.m.

Primary responsibilities include create and revise legal documents using Microsoft Office and PDF applications, copy and burn files to CD/DVDs, complete assignments according to instructions, deadlines and department procedures and transcribe audio recordings using digital dictation. Qualified individuals must have five years of applied document processing experience, excellent knowledge of Microsoft Office 2016 and PDF applications, strong written and verbal communication skills, strong work ethic, be highly organized and demonstrate attention to detail. Overtime flexibility if preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Operates PCs, printers, scanners, copiers and computer software packages, such as Word, PowerPoint, Excel, etc. to accurately produce documents in a timely fashion, utilizing advanced word processing skills.

  • Confers with Document Specialist Coordinator or requesting party as to questions or unclear instructions.

  • Provides responses to telephone inquiries pertaining to job statuses.

  • Assist with document conversion and clean up; create and revise complex legal documents adhering to Firm styles and guidelines.

  • Types legal documents and correspondence from handwritten drafts, rough copy, audio or machine dictation.

  • Completes assigned work according to specified requests and deadlines and follows department procedure as to formatting, filing and printing. Work may include statistical typing, complex documents.

  • Maintains proficiency in all software programs that are implemented and utilized by the firm.

  • Assists Document Processing Centers and legal staff in other offices as needed.

  • Burning CD/DVDs and preparation of labels, create CD closing binders that contain hyperlinked indexes and bookmarking PDFs.

  • Ability to handle pressure, overtime hours as needed, interruptions, and multiple projects with frequently changing priorities and deadlines.

  • Regular attendance and timeliness are required, as well as physical presence at the office.

  • Assist with document related projects or other tasks as may be assigned from time to time.

SECONDARY DUTIES

  • May substitute for an assigned secretary in providing support to specific attorneys/legal assistants in absence of assigned secretary, including word processing services, answering of telephones, opening mail, and other routine secretarial duties.

  • Monitor the front desk in absence of Coordinator including answering the phone and receiving/logging in work requests.
